A Monthly Bookkeeping Routine for Service Businesses

A practical month-end close routine that keeps your books accurate, your taxes simple, and your decisions grounded in real numbers.

Service businesses like agencies, clinics, and home service companies have simpler inventory than retailers, but their books still get messy fast. Client deposits, contractor payments, and recurring software charges add up. A short, consistent monthly routine keeps everything under control.

Week one: close the previous month

  1. Categorize every transaction from bank and credit card feeds.
  2. Reconcile each account to its statement until the difference is zero.
  3. Record non-cash entries such as depreciation or prepaid expenses if they apply to your business.

Week two: review receivables and payables

  • Send reminders for invoices more than 30 days past due.
  • Confirm upcoming bills are entered with the right due dates.
  • Match customer payments to the invoices they paid so your aging report stays accurate.

Week three: look at the numbers

Run your profit and loss statement and balance sheet. Compare actual results to your budget and note anything that moved more than 10 percent. A budget vs. actual review turns your books into a planning tool instead of a historical record.

Week four: plan ahead

  • Estimate quarterly tax payments if you are expected to make them.
  • Set aside cash for upcoming large expenses like insurance renewals.
  • Note any changes, such as a new hire or a big contract, that will affect next month.

Keep it lightweight

The goal is not perfection. It is consistency. A routine you actually follow every month beats an elaborate one you abandon by March. If the routine still feels like too much, that is exactly what monthly bookkeeping services are for.
